Job description
As an Onsite Operations Manager will play a pivotal role
in managing both productivity and quality, driving strategic initiatives, overseeing
critical projects, ensuring operational excellence. Your responsibilities will span
various areas, including assisting with managing a team of analysts and interns by
managing staffing assignments, managing company calendar tracking critical
deadlines for hearings and appeals ensuring that all hearing deadlines are
properly mapped and assigned to analysts in order to never miss a deadline.
You will manage company growth projects, facility upgrades, inventory
management (including hardware and software), while contributing to strategic
planning and budget, managing company growth projects, facility upgrades,
inventory, capital budget allocation, and continuous improvement efforts. A
successful Property Tax Operations Manager, working closely with the President,
Director of Operations and HR, will ensure the efficient and smooth day-to-day
operation of our office.
Our client is a growing company operating in most states,
headquartered in Fishers, IN.
Responsibilities
• Assisting in the management of Analysts and Interns
• Organizing, calendaring hearing and appeal deadlines
• Preparing reports
• Budget management
• Inventory management.
• Ensuring quality and quantity of staff work
• Managing and organizing filing systems
• Plan meetings and take detailed minutes to be published to the teams.
• Organize and schedule appointments.
• Write and distribute email, correspondence memos, letters, faxes and forms.
• Update and maintain office policies and procedures in conjunction with HR
and the Director of Operations
• Order office supplies and research new deals and suppliers.
• Maintain contact lists.
• Book travel arrangements
• Submit and reconcile expense reports.
• Along with the president, manage client invoicing, AR and AP
• Act as the point of contact for internal and external clients.
Job Requirements and Skills
• Proven experience as an Operations Manager with project management
skills - preference given to candidates who have previous experience in
operations for legal firms.
• Ability to work with results driven leadership.
• Proven experience in tracking and managing deadlines.
• Prior employee management including participation in performance
evaluations with HR.
• Knowledge of office management systems and procedures
• Working knowledge of facilities management, office equipment
maintenance, inventory management, ordering supplies.
• Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
• Excellent time management skills and the ability to prioritize work.
• Attention to detail and problem-solving skills.
• Excellent written and verbal communication skills
• Strong organizational skills with the ability to multi-task
• Ability to work with clients and staff exhibiting a strong customer service
and "do whatever it takes" attitude.
Education:
• Bachelor's (Required)
• Preference given to Paralegal certification and/or experience
Experience:
• 3-5 years of experience as an Operations Manager.
• 3-5 years of Paralegal experience
Language:
• English (Required)

Willingness to travel:
• 25% (Preferred)
